Request for Medical Air Conditioner

Baldwin-Wallace College requires students to provide documentation of their diagnosis (from a physician or health care provider), as well as a completion of the Air Conditioner Request form in order to have an air conditioner unit installed in your college room.
A request for use of a personal air conditioner (A/C) in your campus residence will be approved under the following conditions:
- You must have a chronic medical condition that necessitates use of an A/C.
- You must have your physician or healthcare provider submit documentation of your chronic medical condition and necessity of the air conditioner unit to Disability Services for Students.
- You must complete the Air Conditioner Request form and send it to Disability Services for Students.
In an effort to embrace best practices, we request the documentation include seven elements. A qualified medical professional must provide documentation on letterhead and with their original signature that includes:
- A clear statement of the medical diagnosis and prognosis.
- A description of treatment plan.
- Current impact of the disability as it relates to the air conditioner request that is being supported.
Please NOTE:
- The diagnosing professional may not be a family member.
- Documentation must be on letterhead. A note on a prescription pad is not an acceptable form of documentation.
- It is the students' responsibility to confirm receipt of the documentation.
- All documentation can be faxed to Disability Services at 440-826-3832.
- The request is valid for one academic year ONLY.
Upon receipt of the documentation and request form, DSS will evaluate your A/C request. Students whose request has been approved will be sent a confirmation email. Once approved, it is your responsibility to:
- Provide the air conditioner. The unit must be portable, less than 6,000 BTUs, and be able to plug in to a 110 volt electrical outlet. You must have the portable A/C unit in your room ready to install. Installation will be delayed if unit is not available when B&G arrives. Please place the unit in an accessible and visible area.
- Make arrangements with B&G to have A/C removed at close of the academic year.
Buildings and Grounds will install the A/C unit within 5-10 business days upon receipt of the approval from DSS. B&G gets numerous requests at the beginning of the school year, so it is advisable to submit your form and documentation early for prompt installation.
All applications from returning students must be sent to Disability Services for Students. No A/C units will be installed after October 1st during fall semester.
